What is a Document Type?
You can manage your documents in FileEazy! with different data fields(Index Fields). A Document Type allows you to store specific indexing information with each document. You can add various types of Index fields such as Numbers, Characters, Dates, Check boxes, Radio Button, Dropdown lists etc.
For example:
Store Invoice Number, Invoice Date, Invoice Amount with each stored Invoice and store Sender Name, Date with each stored Letter.
The main advantage of using Document Types is that detailed information about each type of document added can be captured by creating very specific data fields. Doing this also increases the number of ways you can look for documents.
Your first installation of FileEazy! comes with a few Document Types by default. You can modify these Document Types by adding or removing the index fields. You can also delete any of these Document Types and create a new set of Document Types more suited to your organization.
What is an Index Field?
An Index Field is nothing but a descriptive information for each document. Each Document Type in FileEazy! will have its own set of Index Fields.This information could include data items like Author Name, Title, Subject etc.
You can create Index Fields for Document Types and Apps.
Whenever you add an Index Field to a Document Type or App, you will need to specify the data type for that field. A field's data type specifies the type of data that can be stored in that field.
